Trader Information – Event Guidelines
Thank you for your interest in trading at our upcoming event. Please read the following information carefully before submitting your application.
The event takes place at Willoughby On The Wolds, Leicestershire
Event Dates and Times:
Friday 26th June 2026:
Unload from: 2pm
Open to festival: 4 PM – 9 PM
Saturday 27th June
Unload for morning 10am
Open to festival: 11AM - 10PM
Sunday 28th June
Unload for morning 10am
Open to festival 11AM - 4PM
If your stall has been selected we ask you to advertise the festival and fayre alongside your usual social media channels.
Please note: Trading is expected for the full duration on all days, Saturday has day and full day/night option.
Stall Allocation:
Stalls will be located outside the venue.
Allocation is on a first-come, first-served basis.
We will aim to avoid duplication of products being sold; however, this cannot be guaranteed.
We ask that stall decoration to be in keeping with the festival theme - medieval/fantasy/fetish. Food stalls will be allocated a separate space.
Products: We want to run this space as a Dark Fae Fayre Market, so we will give preference to those applying with products that are related to the theme. We welcome readers and therapists. Please note, therapists will have to consider the public nature of the trade space.
Only items directly related to the event may be sold, and those listed on your application form.
You must provide a detailed list of the products you intend to sell with your application. This helps us avoid duplication wherever possible.
Facilities:
You will need to provide everything you require to run your stall, including tables and chairs. We recommend a gazebo or similar structure, properly weighted down with appropriate decor if you have a large stall.
Setup & Security:
Please note: All items and equipment are used strictly at your own risk. The organisers are not responsible for any loss or damage to your equipment or stock.
Insurance & Risk Assessment:
All traders must have their insurance.
A copy of your valid insurance must be provided when asked. If selling food products a Food Hygiene certificate is required.
We request a short but thorough Risk Assessment. Many templates are available online for festival stall traders.
Booking:
Spaces are limited, so early booking is strongly recommended.
We give preference to sellers selling Alternative/Lifestyle products, but we will accept other applications if we feel it is related to the theme of our event.
If you are selling food items or alcohol different restrictions apply.
Stall Fees (Payable the week before)
Small table stall - £20 per day
Medium Stall (Full gazebo) £40 per day
Large Stall (i.e. Food Truck) £100 per day
